Project Planner/Production Lead – Springfield

Reports to: Tracy Coffey

FLSA: Non-exempt

Key Relationships: Mike Olson, Ben Wood

Job Summary

Under minimal supervision and guidance, acts as liaison and team member between sales and production departments. Plan and Manage jobs through the shop. Lead production area in all aspects when needed. Back up for Production Manager when needed.

Essential Functions

Provides fast, courteous responses to Sales & Production Departments.
Review and maintain RFQ database, processing estimates within expected time frames.
Respond to submitted RFQ’s that require additional information or explanation.
Prepare work to be estimated and compute costs before presenting to sales.
Generate written quotes and proposals and communicate via email with sales.
Process estimate revisions as needed and email revised documentation to sales.
Review submitted jobs for accuracy and completeness, communicate with sales if there is an issue or concern.
Review & coordinate date requirements for submitted jobs with internal departments, and outside suppliers to meet timelines.
Communicate with sales if requested timelines cannot be met, provide solutions and alternatives.
Process job submissions and create a physical Job Ticket for Production.
Review accuracy of information between the Job Submission Form and final Job Ticket.
Ensure special instructions are provided in clear detail on the Job Ticket.
Process purchase orders to outside suppliers for materials or labor. Process purchase orders for Inventory receiving if needed.
Process any change requests to a current job and updated paperwork as required.
Maintain active communication between sales and production concerning order status.
Assist production/bindery/mail house and shipping with trouble shooting when needed.
Back up Production Manager when needed.
Performs other duties as assigned.
Requirements/Qualifications/Physical Environment

Willingness to work overtime as needed.
Strong ability to work effectively and communicate with associates, management, customers, vendors, and others.
Strongly supports management in driving a positive culture where safety, quality, and housekeeping are not compromised.
Frequent standing and walking, as well as occasionally stooping, kneeling, and crouching.
Strong PC/Mac skills
Strong attention to detail
Strong problem solving & mathematic abilities
Printing experience preferred but not required.
