Full Job Description
The Receptionist provides the first impression visitors have of Merrill Gardens’ main office and is responsible for greeting visitors, answering the telephone, and maintaining the front office area in a neat and organized manner. This position also provides administrative support to all departments on an as-needed basis. Adheres to customer service philosophy by providing excellent customer service to residents, and their families, and Team Members.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Provide a high level of customer service to residents and Team Members by achieving the standards outlined in the MG CARES program.

Greets all visitors and answers incoming telephone calls; returns calls from voicemail in a timely manner.
Distributes incoming mail, faxes, packages, and messenger deliveries.
Processes outgoing mail, including overnight packages and messenger deliveries.
Places weekly orders to maintain an adequate level of office supplies.
Updates the company directory on a monthly basis and distribute via email.
Monitors postage machine usage and supplies.
Manages conference room scheduling and ensures rooms are ready prior to meetings.
Completes various copy/scanning projects as needed.
OTHER DUTIES

Other duties as assigned.
JOB QUALIFICATIONS

Education:

High school diploma or equivalent, or at least two years’ experience as a Receptionist.
Experience:

1-year customer service experience minimum.
Prior multi-line phone experience.
Other Knowledge, Skills, Abilities or Certifications:

Ability to multi-task.
Ability to work independently on assigned tasks as well as to accept direction on given assignments.
Excellent verbal and written communication skills.
Exceptional interpersonal communication skills.
Proficient in Microsoft Word, Excel, and Outlook.
First Aid and CPR certifications required within 30 days of hire.
PHYSICAL DEMANDS

The physical demands and work environment described below represent the activities and surroundings of the position:

Able to push/pull up to 40 lbs., and lift up to 35 lbs.
While performing the duties of this job, the employee is regularly required to see, hear, and use hands to handle and feel. Specific vision abilities required by this job include close vision and color vision.
Requires occasional stooping, bending, twisting, crouching, kneeling, and crawling.
Able to smell as necessary to discern resident’s needs and building emergencies.
Able to handle, grasp, and reach frequently throughout the workday.
