Administrative Assistant

Position Title: Church Administrator (Tuesday – Friday, four hours (mornings) to 12 hours total/week

Purpose: to serve as administrative secretary to the pastor and administrator to the church and congregation, to work well with volunteers, to manage church communications, to keep the church calendar and to welcome visitors and member to the church office

Skills required: Ability to deal with confidential matters; organize and manage time efficiently despite interruptions, attention to detail while keeping big picture in mind, technology savvy

Supervision: Pastor, Personnel Committee

Essential Functions

  • Answers phones and directs calls. Greets people in the office and directs accordingly.
  • Picks up mail from outside mailbox, and then sorts and delivers daily mail.
  • Maintain the master calendar of church events and meetings of both church groups and outside groups using the building.
  • Produces special service bulletins (funeral, wedding, interfaith, special music programs etc), and
  • Sunday bulletin, announcement page each week under direction of pastor.
  • Produce weekly email to church members and friends.
  • Weekly reminders to individuals who have volunteered as liturgists.
  • Weekly updates to the church website (uploading sermons, maintaining the calendar of church events, updating photos, etc.)
  • Assists committee chairpersons, music director, and deacons with secretarial tasks (i.e. typing, mailing correspondence, copying materials, ordering curriculum, creating brochures, etc.)
  • Maintains the Church database. Updates, printing of requested reports, church directory, etc.
  • Helps to inform Pastor, Deacons and Prayer chain regarding the needs of members/friends of the congregation. Initializing contact for a deacon concern, notifying pastor, prayer chain, etc.
  • Prepares membership, baptism, deacon, and elder certificates when needed.
  • Prints Annual Report, Stewardship letter and pledge forms, other all church letters as needed.
  • Responsible for operation/repair of office machines: computers, copy machine, phone system.
  • Keep track and update Pastor about office supply needs well in advance (ie toner, paper, pens/pencils, post its, etc).
  • Water plants in building.
  • Maintain the church office in such a way that it is clean, organized, efficient and attractive.
  • Special projects as assigned by Pastor.

Minimum Qualifications

  • Experience or training in office management
  • Knowledge and experience working with Windows based computers
  • Knowledge and experience or ability to learn website maintenance
  • Knowledge and experience working with word processing, spreadsheets, and communications software
  • Demonstrated organizational skills
  • Demonstrated receptionist skills
  • Some office supplies lifting
